​Volunteer Onboarding FAQ

How long does it take for me to go through the onboarding process–the application, training and agreement forms, and background check?
The full onboarding process usually takes 45–60 minutes and can be completed online at your convenience. Your background check will take a few days to process so you can expect to be approved 5 days from when you complete the onboarding forms.

Why do I need to give my Driver’s License number if I’m not driving international students at an event?
You will provide driver info up front, but HC will only run a check if you choose to volunteer at an event that involves driving students. This includes the following events: airport pickup, holiday hosting, day trips, and overnight hosting. Giving this information upfront simplifies the process for you and us if you do end up volunteering to drive international students at an event.

Will I have to do this every year?
No, we expect to re-run background checks every 5 years. In the event that your driver’s license information changes (expires) and you are set to drive students at an event, we will ask for updated information.

Why do I need to give so much information and go through a training and background check just to volunteer, especially since I’m only volunteering in the kitchen at a monthly meal?
A consistent onboarding process—application, training and agreement forms, and background check—helps us protect students and live out our mission. Even volunteers who start with behind-the-scenes roles often connect with students and grow into more relational opportunities.

What if my background check or driving record check is not clean?
One HC staff member is designated to read the background and motor vehicle record checks. Practically speaking, we use the following guidelines to review background checks: No felonies within 7 years, no sex offender listings, no DHS disqualifications, and a case-by-case review for older misdemeanors. For Motor Vehicle Record checks we use the following guidelines: no DUIs within 7 years, no suspensions within 5 years, no more than 3 moving violations in 3 years and review on a case-by-case for minor violations. The following things will also be taken into consideration: nature and severity of the offense, how long ago the offense occurred, evidence of change since the offense, and relevance to working with international students.

All of these records will be securely stored and only accessible to a designated HC staff member. 

What happens to my personal information?
Information is received and stored securely through Formstack, Salesforce, and Protect My Ministry. Only authorized individuals have access to this confidential information. Outside of names and contact information for specific event purposes (i.e. matching a volunteer and student for hosting), all information remains confidential. See our data policy below for more information.
